BukSU HRMIS · Recruitment, Selection and Placement

Who acts at each step

BukSU's RSP procedure in 16 steps, and who does what at each one: the applicant, HR, the HRMPSB, the rating panel, the President, the hired person, the system on its own, and later the requesting office. Pick a process template to see only the steps it uses. The deck's steps 1–3 (identify the vacant position, request letter, publication) are one step here, because HR does all three on the vacancy form; "deck" on each step gives its number in the RSP deck.

Progress: what's built

As of 27 Oct 2026, from what's merged on staging (frontend) and main (backend); this page is updated with the frontend PR it ships in. "Earlier pipeline" means the backend has an endpoint for the step from the fixed RSP flow built with the HRMIS foundation (backend #795, Sept 2026). It runs, but no screen uses it, and it isn't driven by a process template yet, so each phase will reuse or rework it.

    Each step

Production: the backend for the vacancy form, employment types and process templates (#931, #937, #957) deployed on 21 Oct 2026, the applicants (#966) the same day, and draft → ready with automatic publishing (#971) and the vacancy's document list (#975), walk-ins (#976) and step results with the vacancy's progress (#981) on 22 Oct 2026, Notify results with the applicant emails and Track's steps (#985), and the selection line-up filled from the evaluation (#987), both on 26 Oct 2026 (deploy jobs green; their frontends, #742 and #744, on staging the same day). Still to set for Notify results: recruitment_0020 runs with the deploy; the notification service should let hrmis-recruitment send more than 100 emails a minute (RATE_LIMIT_PRODUCER_OVERRIDES, else a big step takes minutes), and recruitment needs CAREERS_TRACK_URL and HRMO_CONTACT_EMAIL (else the emails leave out the Track button and the contact line). The services read their scopes from their own authorization_config.json, already deployed; Keycloak only has to give HR staff their buksu-be-hrmis-prime client roles (hr-admin, recruitment-officer). Until hr-admin has pressed "Add BukSU's templates" once, no vacancy can be prepared for publication.

    Weekly accomplishments

What shipped across the whole HRMIS each week (Monday to Sunday), newest first: recruitment, the shared people records, rewards, and the public careers site. Frontend items are PRs merged to staging; backend items are the PRs this page already tracks, with their deploy dates. Add a new week at the top of WEEKLY in this file when it closes.

    Each user

Where each step happens in our UI

Step 1 is about the vacancy itself. From step 2 on, every step also holds a result for each applicant. That gives three steppers built from the same template steps: one on the vacancy for HR, one on each application for HR, and one on the public Track page for the applicant.

    HR

1 · Vacancy page: steps rail and step workspace

Every step of the vacancy's template, locked at its version. Each shows Not started, Open or Completed, plus how many applicants are waiting. Clicking a step opens its workspace on the right. HRMPSB members open the same workspace for their two deliberations.

      2 · Applicant page: one applicant's path

Opened from the vacancy's Applicants tab. Starts at step 2, the application. Each step shows this applicant's result: Passed, Failed, Absent, Withdrew, a score, or Waiting. After a Failed step, the rest read "Not reached". The PDS and documents sit beside it.

3 · Careers › Track: what the applicant sees

Only steps marked "show to applicant" in the template appear, under friendlier names. Internal steps (line-up, deliberations, background investigation, ranking, endorsement) appear as "Under review". Today this page has 3 fixed steps: Received, Under screening, Result.

          To confirm with HR

Who sits on the rating panel for the BEI and teaching demonstration: HRMPSB members, or raters HR assigns per vacancy.

For COS, the deck has no HRMPSB deliberation before the endorsement, so HR sends the ranked list to the President directly.

The requesting office acts only once office requests are built (Phase 5). Until then HR ticks the request documents itself on the vacancy form.

Which request documents Permanent Non-teaching needs: the deck only names the request letter.
